Case Study — Family Practice
From IT Firefighting to "An 11 Out of 10"
How an independent specialty clinic finally got stable operations — and stopped losing exam-room time to technology.
Practice Profile
Independent Specialty Clinic
Greater Atlanta · 20–40 staff · Single location
Starting Point
Constant IT Disruption
Unreliable EHR access, recurring outages, no accountable vendor
Outcome
Operational Stability
Unprompted referrals, "11 out of 10" recommendation to peers
The Challenge
The practice had been through a string of IT providers. Every new vendor started strong, then faded. When the EHR went down, nobody owned the problem — the software vendor blamed the network, the network vendor blamed the server, and the practice manager spent her day on hold instead of running the clinic.
Clinical staff had lost trust in the technology. Providers would open a chart and brace for the spinning cursor. Front desk workarounds — handwritten notes, duplicate entry, paper backups — had become the norm. Everyone was tired.
What the practice wanted was simple and specific: someone who would actually show up, understand their EHR, and push problems to resolution instead of passing them around.
What We Did
We started with an onsite walkthrough — every room, every workstation, every piece of equipment that touched patient care. The goal wasn't to sell a project. It was to understand where the fragility actually lived.
From there, we addressed the root causes in order of risk:
- ●EHR reliability — stabilized the server, network, and endpoints the EHR depended on, and built a documented downtime procedure so staff knew exactly what to do when something failed.
- ●Vendor coordination — we became the single point of contact for the EHR vendor, imaging vendor, and ISP. No more finger-pointing; we pushed the issue to resolution on the practice's behalf.
- ●HIPAA IT security posture — ePHI encryption, MFA on all remote access, audit logging, and staff training brought into alignment with what HHS expects today.
- ●Exam room standardization — every room works the same way. Providers don't lose time hunting for a working device or adapting to a different layout.
- ●Proactive monitoring — we watch the systems so the practice doesn't have to. Most issues are resolved before the staff notices.
The Outcome
The loudest signal of success wasn't a metric — it was silence. The practice manager stopped calling us to complain. Providers stopped bracing for the EHR. The daily technology drama ended.
The second signal was referrals. Physicians started recommending us — unprompted — to peers in their specialty network. When asked to rate the service, one provider responded: "an 11 out of 10."
That's the outcome we aim for. Not flashy dashboards. Not a thicker stack of tickets. Just a practice that runs — and a team that trusts the technology to work.
"I recommend them to every practice owner I know. An 11 out of 10."
